ClearTurn privacy policy

Last updated 10 October 2026

ClearTurn helps owners of short-term rental homes run the cleanings between guests. An owner creates an account, adds their homes and booking calendars, and invites their cleaners with a private link. Cleaners use the app to see upcoming cleanings, work through the checklist, take photos, report damage or repairs, and message the owner. ClearTurn is run by Optima Property Management ("we", "us"). There is no advertising and no tracking, and nothing is sold.

What we keep

About owners

About cleaners

About guests

The booking calendars owners connect can include guests' names, number of guests and stay dates. ClearTurn uses them to schedule cleanings, to show a cleaner the next guest's name for a welcome note (only when that guest arrives within a day), and to fill in damage-claim summaries for the owner. Guest details are never sent in notifications and are replaced each time the calendar is read.

The app does not use your location, contacts, microphone or advertising ID. The camera is used only when you take a photo for a cleaning, a message or a report.

How it is used

Only to run the cleanings: showing cleaners their schedule, showing owners the photos and reports, tracking pay, and sending the notifications and emails each person has asked for. We use account emails to send sign-in links, password resets and important notices about the service. Nothing is sold or shared for marketing.

Some features use outside services that process data on our behalf, only for that feature:

Who can see what

Each owner's account is separate: no other owner can see it. An owner sees everything about the cleanings at their own homes, including their cleaners' photos, reports, messages and pay. A cleaner sees the homes and cleanings their owner gives them, their own messages, and (for main cleaners) their own tax details. A helper sees the cleanings their main cleaner shares with them, never the main cleaner's pay or tax information. We access the data only to run and support the service, or when the law requires it.

How long it is kept

An owner's data is kept while the account is open. Full-size photos are reduced to a normal size after 30 days (damage photos keep full size). Cleaners' records stay with the owner's account while they clean for that owner. Tax records are kept as long as tax law requires (generally four years) for owners who collect them.

Deleting your data

Owners: sign in at clearturn.optimapropertymanagement.us/admin (or in the ClearTurn app), open Settings → Your account → Delete my account, enter your password and confirm. Your account and everything in it are deleted at once: homes, calendars, cleaners and their links, cleanings, photos, reports, messages and pay records. You can also email contact@managewithoptima.com from your account's email address and we will delete it within 30 days.

Cleaners: ask the owner who invited you to remove you, or email contact@managewithoptima.com with your name and the owner's name. We delete your details, photos and messages within 30 days, except what must be kept for tax purposes.

Uninstalling the app does not delete anything we hold; it only removes the app from your phone.

Security

Everything travels over encrypted connections (HTTPS). Passwords are stored only as a salted one-way hash. A cleaner's private link works like a password: keep it to yourself. If it may have been shared, the owner can make a new one and the old one stops working.

Children

ClearTurn is for working adults and is not meant for anyone under 18.

Changes and contact

If this policy changes, the date at the top changes too, and owners are emailed about important changes. Questions: contact@managewithoptima.com. See also the Terms of Service.
